The Employees' Provident Fund Organisation (EPFO) has made the Joint Declaration process easier for its members. From now on, transgender identity certificates or cards issued by the National Transgender Portal will be officially recognised as valid documents for name and gender changes for members of the transgender community.
In a recently issued circular, EPFO announced that identity cards issued from the National Transgender Portal (transgender.dosje.gov.in) have been included in the list of acceptable documents for name and gender changes in EPF records. This document will be considered part of Annexure II of the circular dated January 16, 2025, regarding simplifying the Joint Declaration process.

List of required documents for name and gender changes in EPF records
Transgender card issued by the National Transgender Portal
Passport
Birth certificate
Death certificate (where applicable)
Driving license
Service photo ID card issued by the Central Government / State Government / UT Government / PSU
Bank-related documents
School Leaving Certificate (SLC) / School Transfer Certificate (TC) / SSC
Certificate or marksheet issued by the board or university
Bank passbook (with name and photo, cross-stamped by a bank official)
PAN card / e-PAN
Ration / PDS photo card
Voter ID / e-Voter ID
Pensioner’s photo card
CGHS / ECHS / Medi-claim card (issued by state or central government / PSU)
Rashtriya Swasthya Bima Yojana (RSBY) card
ST / SC / OBC certificate (with photo)
Gazette notification for full name or first name change
Notification regarding the new name and supporting documents for the old name
Photograph (also applicable for first-time full name or first name change)

EPFO members have been divided into three main categories. The level of verification and approval will depend on which category a member falls into.
Members whose UAN is linked with Aadhaar and created after October 1, 2027
Members whose UAN was created before October 1, 2017, but whose name, date of birth, gender and Aadhaar have been validated
Members whose UAN is not Aadhaar-validated, who do not have a UAN, or cases related to deceased members
Process for correcting name, gender and date of birth in UAN profile
First step: Log in to the Unified Member Portal
Second step: Select 'Profile Update / Joint Declaration' option
Third step: Upload scanned copies of required documents
Fourth step: Submit the request to EPFO for verification
After applying, EPFO will verify the documents. Once approved, the corrected information will be reflected in the UAN profile. Documents can be submitted through DigiLocker where possible, or can also be uploaded as PDF files.
